This Privacy Policy explains how Vix and Ink (“I”, “me”, “my”, “we” or “our”) collects, uses, stores, and protects your personal information when you visit, browse, or purchase from our online store, contact us, or otherwise interact with our Services.

Please note that Vix and Ink operates exclusively within the United Kingdom. We do not accept international orders or ship to destinations outside the UK.

We respect your privacy and are committed to protecting your personal information in accordance with applicable UK data protection legislation, specifically the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. For the purpose of these laws, Vix and Ink is the sole independent data controller of your personal information.

Personal Information We Collect
When you interact with our store or make a purchase, we may collect or process the following categories of information:
• Contact details: Your name, billing address, UK shipping address, phone number, and email address.
• Financial information: Transaction details, payment confirmations, and forms of payment. (Note: All actual credit/debit card numbers are handled securely via encrypted third-party payment gateways powered by Shopify; we do not store raw card numbers).
• Order & Transaction information: Items you view, add to your cart, or purchase, alongside your customer support inquiries and messages.
• Technical usage data: Information automatically collected through cookies or your browser, including your IP address, device type, and network connection details.

How We Receive Your Information
We collect personal information directly from you when you complete a purchase, create an account, or send us an email/WhatsApp inquiry. We also collect technical data automatically via cookies and tracking pixels integrated into our Shopify platform as you navigate our website.

Why We Use Your Personal Information
Under the UK GDPR, we process your personal data using the following lawful bases:
• Contractual Obligation: To process your payments, manufacture your made-to-order products, and ship your items to your domestic address.
• Legal Obligation: To comply with UK statutory regulations, accounting audits, and HM Revenue & Customs (HMRC) tax record requirements.
• Legitimate Interests: To provide customer support, maintain a secure storefront, protect our business against fraudulent activity, and communicate order updates to you.

Who We Share Your Personal Information With
We never sell your personal information to third parties. We only disclose relevant personal data to trusted service providers to successfully execute your orders and run our store:
• Shopify: Our hosting platform, which processes your information securely to maintain e-commerce infrastructure.
• UK Postal Services: Domestic courier networks (including Royal Mail Click & Drop) to physically print shipping labels and deliver your packages.
• Inkthreadable: For specific custom-printed apparel and accessory items, we utilise a third-party fulfillment partner, Hyper Merch Limited (trading as Inkthreadable), located in the United Kingdom. When you purchase these specific items, we pass your name, UK delivery address, phone number, and order details to them securely. This data sharing is strictly required to print, pack, and drop-ship your custom order directly to your door. Inkthreadable processes this data in compliance with UK GDPR.

Data Security and Retention
We take reasonable technical and administrative measures to secure your data against unauthorised access, loss, or alteration. However, no transmission over the internet can be guaranteed as perfectly secure.

We retain your personal information only as long as necessary to manage your orders or provide customer support. Please note we are legally required under UK tax law to retain all sales invoices and financial records for up to 6 years.
